Wana Stay is committed to protecting your privacy in line with the New Zealand Privacy Act 2020 and its 13 Information Privacy Principles (IPPs). This policy explains how we collect, use, disclose, store, and protect personal information.
Who We Are
Wana Stay is a short-term accommodation management service operating in Wānaka and Queenstown, Queenstown Lakes District. We manage properties on behalf of owners and facilitate bookings for guests (via our website, direct enquiries, or platforms like Airbnb, Booking.com, Vrbo).
Personal Information We Collect
We collect only what's necessary and lawful (IPP 1 & 4):
Guests: Full name, contact details (email, phone), address, booking dates, number & composition of guests (including children), payment information (processed securely by third-party providers), ID/verification documents (where required for check-in or compliance), special requests (e.g., accessibility, allergies).
Property Owners/Clients: Name, contact details, property address/details, bank account info (for income payouts), identification for compliance/tax.
Website & General: IP address, device info, enquiry/feedback data, usage analytics (via cookies — see below).
We collect directly from you, booking platforms (with your consent/authorisation), or third parties as permitted (IPP 2).
How We Use Your Information (IPP 10)
We use it for:
Processing/managing bookings, check-ins, payments, and stay services
Communicating about your booking, property, or enquiry
Complying with legal requirements (e.g., QLDC short-term visitor accommodation registration/rules, tax/IR obligations, emergency services)
Property security, fraud prevention, damage/insurance claims
Service improvement and direct marketing (only with your consent)
Fulfilling our contract with property owners (limited sharing — see below)
Who We Share Your Information With (IPP 11)
We share only when necessary:
Property owners (limited to name, stay dates, guest numbers, contact for check-in/coordination)
Third-party providers (e.g., payment processors, cleaners, maintenance, cloud services) bound by confidentiality/privacy obligations
Booking platforms (per their terms)
Authorities (QLDC for compliance, Police/IRD/emergencies, as required by law)
Professional advisors (e.g., accountants, lawyers) for business purposes
We do not sell personal information.
International Transfers (IPP 12)
Some data may be stored/processed overseas (e.g., cloud servers in Australia/USA/EU). We ensure recipients provide comparable protection (via contracts, standard clauses, or adequacy decisions) and remain accountable.
Storage, Security & Retention (IPP 5 & 9)
Data is stored securely in NZ or with compliant overseas providers. We use technical/organisational safeguards against loss, unauthorised access, or misuse. We retain information only as long as needed (e.g., 7 years for financial/tax records; shorter for inactive bookings) or as law requires, then securely destroy/delete.

Your Rights Under the Privacy Act 2020 (IPP 6 & 7)
